A unique and flexible set of tools is required to properly manage a service business or a repair department within a business. Many sales, manufacturing, or construction companies also maintain a service department within the company. Managing a schedule, tracking parts, evaluating billable time, and maintaining an efficient invoicing system are some of the challenges a service company will face. A work order can be tracked from the time the service is requested (open work order), while a task is waiting for parts or for other reasons (pending), when the work order is completed (completed), and when the work order is invoiced or paid (closed). This convenient status feature allows the service manager to easily schedule and review work orders or tasks in progress, and those that are completed and billed.
SCHEDULING MULTIPLE SERVICE TECHNICIANS
Scheduling multiple service technicians can be a challenge for a company that handles many varied service requests. The EBMS task system can assist in displaying the available time slots for a department or technician. Scheduling properly can be a major factor in ensuring customer satisfaction. This feature can also be used as a sales contact manager or as a time-tracking device for a professional company. Printed work order documents, including task details, parts lists, and possibly bar codes, are useful in a shop or service truck that does not have a constant computer connection.
SYSTEMATIC METHOD OF BILLING
The EBMS work order module’s systematic method of billing ensures proper time billing for both time & material projects and for contract projects. Parts and other inventory can be managed by adding the materials directly into the work order using the work order window, bar code scanners, or other methods. The efficiency of the service department can be evaluated by comparing the billable time of the department or individual technicians.
A variety of reminders, user-defined information, and warnings can be added by using the optional EBMS Scripting module. The flexible query and grouping options within the scheduling software, in combination with the scripting option, can be used to implement a wide variety of service and work order applications.
DOCUMENTING SERVICE HISTORYDocumenting service history that includes the original problem and the resolution of the service issue may be valuable when future service is required or when billing questions arise. This history can be associated with certain serialized items such as specific equipment or projects.
